About the Role
We are looking for an experienced Administrator to join our Pharmacy Department. This role provides administrative and operational support to both the hospital pharmacy and eMeds department, ensuring efficient service delivery, compliance with health regulations, and smooth coordination between clinical, supply, and management teams.
Key Responsibilities:
Complete timely data entry, stock receipt reconciliation, invoice processing, and financial reporting
Provide reception support, answer calls, and assist staff and patients professionally
Maintain efficient office systems and handle ordering of stationery and supplies
Develop, edit, and standardise controlled documents to ensure compliance and quality
Manage calendars, appointments, correspondence, and documentation for Pharmacy and eMeds leadership.
Assist with projects and adhoc tasks that keep the departments running smoothly

About the Team/Service/ Location
Health New Zealand Taranakis Pharmacy Service is a collaborative and supportive department providing safe and effective medication management across both Taranaki Base and Hawera Hospitals. Our team upholds the highest standards in pharmaceutical supply, medicines safety, and clinical services, constantly seeking ways to improve the care we deliver. Staff work closely within multidisciplinary teams across medical, nursing, and allied health directorates - all united by a shared focus on delivering optimal, patientcentred care.
Health New Zealand Taranaki is also fortunate to have its dedicated eMeds team who work closely alongside our Pharmacy department to lead medication management in the various data and digital platforms across the hospital.
As the Pharmacy Administrator, you play a crucial role in enabling our highquality services. Your coordination, accuracy, and organisational expertise ensure that our clinical teams can focus on what they do best: delivering safe, effective care to patients and whānau. Youll be the person who keeps systems running smoothly, information flowing clearly, and support operations aligned across Pharmacy and eMeds departments.

About you
Essential professional requirements and experience include:
- Administrative qualification or proven experience in office/project administration
- Strong Microsoft Office skills (ie. Word, Excel, Outlook)
- Excellent written and verbal communication
- Accurate and efficient keyboard and data entry skills
- Ability to create clear documentation and manage detailed information
- Sensitivity to cultural needs and commitment to cultural safety
- Strong teamwork, flexibility, and a continuous improvement mindset
- Strict confidentiality and professionalism
- Effective planning, sound judgement, and personal accountability
