We are looking for an experienced Administrator - to join our team, providing efficient, accurate and patient-centred administrative support.
This is a busy and varied role where you will play an important part in supporting timely patient access, effective patient flow and the safe delivery of acute assessment services. Your administrative expertise will help our clinical teams focus on what matters most - providing quality care to our patients.

About the role
As an Administrator - you will provide a broad administrative function within a busy and varied healthcare environment, coordinating and delivering day-to-day administrative processes and services to support the effective operation of the team and wider organisation.
You will:
- Provide timely and reliable administrative support to managers, staff, and teams.
- Prepare and manage correspondence, reports, documents, forms, and other administrative information.
- Manage phone calls, emails, enquiries, and communication with internal and external stakeholders.
- Maintain accurate and up-to-date electronic and physical records, databases, registers and filing systems.
- Complete data entry, reporting, document processing and routine administrative checks accurately.
- Coordinate meetings, appointments, clinics, events, and related administrative arrangements.
- Monitor deadlines, outstanding actions, follow-ups, and priorities, ensuring work is completed within agreed timeframes.
- Support day-to-day office operations, including supplies, resources, templates, and administrative systems.
- Handle confidential, personal, and sensitive information in accordance with privacy and organisational requirements.
- Follow Health NZ policies, procedures, and relevant compliance requirements.
- Identify and escalate administrative issues, risks, or disruptions appropriately.
- Identify and contribute to improvements in administrative processes, systems, and efficiency.
- Support staff with administrative processes, training, onboarding, and general team requirements.
- Work collaboratively and professionally with colleagues, managers, patients, and other stakeholders.
- Demonstrate initiative, accuracy, reliability, discretion, and a commitment to quality service.
About you
You will be someone who enjoys working in a busy environment and can remain calm, organised and professional when priorities change.
You will bring:
- Relevant administrative or customer service experience.
- The ability to work effectively under pressure and manage competing priorities.
- Experience using computer-based administrative systems and Microsoft Office.
- Strong organisational, time management, problem-solving and attention-to-detail skills.
- A high standard of written and verbal communication.
- Knowledge of medical terminology, or the willingness and ability to develop this knowledge.
- A strong commitment to privacy, confidentiality and professional standards.
- A collaborative approach, with the ability to work effectively as part of a team.
- Self-management, accountability and a willingness to learn and grow.
It would be an advantage if you have:
- Previous health administration experience.
- Familiarity with a public hospital environment and patient management systems.
- Experience working within a 24/7 or rotating roster.
- An understanding of, and responsiveness to, people from diverse cultural backgrounds.
