About the Role
We have the opportunity available to join our Te Waipounamu regional team as an Administration Coordinator in a fixed-term, part -time role supporting our Mana Ake Waitaha Programme Leadership.
Mana Ake Waitaha supports children who are in years 1-8 at school to promote their mental health and wellbeing, covering schools across the district from Mid-Canterbury to Kaikōura. The Programme supports children at school and at home through individual and group work as well as by offering advice, guidance and workshops for parents/caregivers, whānau, teachers and schools. There are currently 64 Kaimahi (staff) and 9 Kaiārahi (Team Leaders) working under 13 Community Providers, who our Programme Leadership coordinates with in the delivery and ongoing development of the service.
The primary purpose of this role is to provide essential day-to-day administrative support and coordination, enabling the Mana Ake Leadership and wider service to effectively achieve our outcome objectives.
The role will involve a wide variety of tasks including but not limited to:
- processing requests for Mana Ake support, information and referrals via email, phone and ERMS
- data entry and quality control in the Mana Ake client database
- updating and tracking user information and access to our client database and the Mana Ake Microsoft Teams account
- entering, collating and graphing data in spreadsheets for monthly, quarterly and annual reporting
- assisting with the running of groups, trainings and meetings through organising bookings and catering, helping with setup/cleanup, operating audiovisual and technical settings when online (using Microsoft Teams and other video calling platforms), sending reminders, agendas and minute-taking
Other general tasks could also include purchasing supplies, processing invoices, coordinating meeting room, facility, travel and accommodation bookings for the district and handling reception duties.
The role is part of a collaborative wider team and requires flexibility in response to workloads and changing priorities which may include working across other work programmes.
The duration of this fixed-term role is until 30 June 2026.

About you
As an experienced administrator, you enjoy working in a complex environment, are task focused, self-motivated, and are someone that excels in a supporting role. To be successful you must be able to work at a fast-pace, juggle changing priorities and work collaboratively with a diverse range of people and organisations. You will have:
- Experience in office administration, databases and coordination within a medium to large complex organisation or other government agency
- Able to plan, prioritise, and deliver work on time, and to required standards across the breadth of the role
- Excellent organisation skills with a good eye for detail
- Highly skilled in Microsoft Office suite - MS Teams, Word, PowerPoint, Excel and Outlook
- A clean full New Zealand drivers' licence
- Able to manage relationships at all levels of the organisation
- An understanding of the significance of and obligations under Te Tiriti o Waitangi, including how to apply Te Tiriti principles in a meaningful way in your role
- With the support of Health NZ, you will proactively take care of your own health and safety, to ensure a safe and supportive work environment
